CRM & ERP Systems
Custom business management systems that streamline operations and boost efficiency
Off-the-shelf CRM and ERP platforms are built for the average of thousands of companies, which means every company using one spends time working around the parts that do not fit. For most businesses that trade is worth it. For some it is not — because the process that does not fit the software is the process that makes the business competitive.
We build custom systems for the second case: companies whose operations are specific enough that configuring a generic platform costs more in workarounds, per-seat licensing, and lost efficiency than building something that matches how the work actually happens.
What's Included
Key Benefits
Modeling the Process You Actually Run
The most valuable part of a custom system is that its data model matches your business rather than a vendor's abstraction. Your deal stages are your deal stages. Your approval chain is your approval chain. Nothing has to be squeezed into a generic opportunity record with six custom fields carrying meaning that only three people remember.
We start by mapping the real workflow, including the exceptions — the manual override, the special customer, the end-of-month reconciliation someone does in a spreadsheet. Those exceptions are usually where the value is, and they are exactly what off-the-shelf platforms handle worst.
Permissions That Match Your Org Chart
Business systems hold sensitive information: pricing, margins, salaries, customer contracts. Access control needs to reflect real organizational structure — regional managers seeing their region, sales staff seeing their accounts, finance seeing everything financial and nothing personal about staff.
We model this as data rather than as conditionals scattered through the application, with a single authorization check called everywhere. That makes it auditable, testable, and changeable when your structure changes — which it will, and which is the point at which bolted-on permission logic usually breaks.
Integration With What You Already Run
A custom system that does not talk to your accounting software, your email, your e-commerce platform, or your warehouse is another silo, and silos are the problem you were trying to solve.
We build integrations as a first-class part of the system with proper error handling and retry behavior, because third-party APIs fail and a synchronization that silently stops is worse than one that never existed. Where a live integration is not possible, we build reliable import and export paths instead of leaving people to copy between systems by hand.
Reporting People Will Actually Use
Every business system accumulates a reporting backlog, because the questions leadership asks change faster than reports can be built. We address this by building reports on top of a queryable data layer and giving operational users filtered, exportable views they can adjust themselves.
The goal is that a routine question — which accounts have not been contacted this quarter, what is sitting in stock beyond ninety days — is answerable without a development ticket. Reports that require engineering time to change are reports that quietly stop being run.
How We Work
- 1
Process mapping
We sit with the people doing the work and document the real workflow, including the exceptions and the spreadsheet nobody mentions.
- 2
Data model & permissions design
Entities, relationships, and an access model matching your organizational structure, agreed before development starts.
- 3
Module-by-module delivery
We build and ship one working module at a time so value arrives early and feedback shapes what comes next.
- 4
Migration & integration
Existing data imported and reconciled, and connections built to accounting, email, and any other systems you keep.
- 5
Training & rollout
Documentation, training for each user group, and a phased rollout so the business is never dependent on an unproven system.
Frequently Asked Questions
Why build custom instead of using Salesforce or HubSpot?
Often you should not. If your process fits a mainstream platform, use it — the ecosystem and support are worth a great deal. Custom makes sense when configuration and workarounds have become their own burden, when per-seat licensing at your headcount exceeds the cost of building, or when your differentiating process cannot be expressed in the platform's model.
Can you integrate with our existing accounting software?
Yes. We regularly integrate with QuickBooks, Xero, Sage, and similar systems for invoice synchronization, payment reconciliation, and reporting. Where a platform has no usable API, we build scheduled import and export routines instead.
How do you handle migrating our existing data?
As its own phase with its own plan. Data from spreadsheets and legacy systems is almost always messier than expected — duplicates, inconsistent formats, records referencing things that no longer exist. We build a repeatable import that can be run and reviewed several times before the real cutover, so the migration is rehearsed rather than attempted once under pressure.
What happens when we need changes later?
Most clients continue on a monthly retainer covering maintenance and a defined allocation of development time. You own the code and the repository, so you are also free to take it in-house or to another team at any point.
How long does a custom CRM take to build?
A focused system covering one core workflow with reporting is typically ten to sixteen weeks. A full ERP spanning sales, inventory, finance, and HR is a multi-phase programme measured in quarters. We deliver module by module so the first one is in use long before the last is finished.
